Imprint service & pseudonym service - how authors protect their privacy

Every book, eBook and audiobook published in Germany requires an imprint in accordance with Section 5 of the German Telemedia Act. One of the mandatory details of the imprint of a book is a summonable address. This means that you cannot simply provide a post box address or a PO box.

If the book is published by a publisher, the publisher's address is of course included. Self-publishers without a publisher must therefore use their own address in the imprint. However, as this is sensitive data, various providers offer a so-called imprint service.

What is an imprint service?

An imprint service is a service provider that provides authors and self-publishers with a summonable address for the imprint of their publications. This address is given instead of the private home address in the book, eBook or audiobook. The provider accepts mail and other legal notifications and forwards them accordingly.

An imprint service is particularly helpful in protecting privacy and ensuring that personal data is not publicly accessible - an important advantage, especially when publishing under a pseudonym. In this case, it is also referred to as a pseudonym service.

What is a pseudonym service?

A pseudonym service is an extension of the imprint service that has been specially developed for authors who wish to publish under a pen name. While the imprint service primarily serves to protect the private residential address, the pseudonym service goes one step further: It ensures that the civil name remains hidden and only the chosen pseudonym appears in public documents, such as the imprint or in communication with readers, publishers and authorities.

When do I need an imprint service?

In principle, you do not need an imprint service. If you have a business address, you can of course also use this. However, if you don't want to provide your own address, the imprint service comes into play.

What are the advantages and disadvantages of an imprint service?

An imprint service for authors and self-publishers offers a practical way to fulfill the legal requirements for the imprint in the book without disclosing private data. An imprint service can therefore be extremely helpful for self-publishers without a business address or authors who wish to remain anonymous. However, as with any service, there are pros and cons.

Advantages of an imprint service

  • Protection of privacy: Authors do not have to provide their private address or real name in the book imprint and thus protect themselves from unwanted contacts.
  • Legal security: An imprint service ensures that all mandatory information in the imprint is correct and legally compliant. This is particularly important for self-publishers who publish books without the support of a publisher.
  • Flexibility for self-publishers: The imprint service offers a practical solution, especially for self-publishers who do not have a fixed office space.

Disadvantages of an imprint service

  • Additional costs: The use of an imprint service is associated with monthly or annual fees. These can vary depending on the provider and scope of the service.
  • Dependence on the provider: Authors depend on the service provider to work reliably, especially when it comes to mail forwarding or legal notifications.
  • Limited control: As the provider receives and forwards mail, delays can occur that affect the flow of communication.

What does an imprint service cost?

There is no general answer to this question, as it naturally depends on the provider. As a rule, however, you pay an annual or monthly fee (per publication) for the use of the address and a fee for forwarding your mail.

What should you look out for when choosing an imprint service?

When choosing an imprint service provider, you should pay attention to several factors.

  • First of all, it is essential that the provider precisely fulfills all legal requirements for the imprint in the book and provides a summonable address. Also make sure that the cost structure is clear and transparent to avoid unpleasant surprises. Competent and easily accessible customer support is also very important in order to receive quick support in the event of queries or problems.
  • In addition, flexible contract terms are an advantage so that the service can be easily adapted to changing needs or terminated if necessary. For authors who work under a pseudonym, additional pseudonym services are particularly relevant in order to protect the real name from the public.
  • The speed and reliability of mail forwarding also plays a role, as important documents need to be delivered promptly.
  • Finally, a look at the experiences of others and the reputation of the provider can provide information about its reliability and service quality. This will ensure that you choose a provider that not only complies with the law, but also optimally meets your individual requirements.
